What should my file look like?
Best: one row per visit (or appointment, booking or sale) with the customer's name and the date. Phone numbers, emails and amounts are optional extras.

Also works: one row per customer with their last visit date, and ideally their first visit date and number of visits.
Where to get it: most booking systems, till/POS systems and online shops can export appointments, orders or clients to Excel or CSV. Look for Export, Download or Reports. Twelve months or more of history gives the best results.
Private: your file is read by your own browser and never uploaded anywhere.

Edit the message wording
Use {first_name}, {business} and {last_visit} (e.g. “9 weeks ago”), and they'll be filled in for each customer.
Only message customers who've given you their number to hear from you, keep it personal, and stop if anyone asks you to. Sending from your own phone, one at a time, keeps it friendly.
Downloads include each customer's status, rhythm, suggested message and a WhatsApp link.
How it decides
Every customer has their own rhythm
A customer who comes every 3 weeks is overdue at 6 weeks. One who comes every 3 months isn't. So instead of one rule for everyone, the finder looks at each person's own history.
- Their usual gap is the typical time between their visits. We use the middle value, so one long holiday doesn't throw it off.
- Due now means it's about time for their next visit. Drifting means they're noticeably past it: the best moment to reach out. Lapsed means they're several visits overdue.
- Never came back means one visit and no return. For many businesses this is the biggest group. Only 45% of first-time salon clients return for a second visit (Boulevard, 2023).
- Best chance first puts loyal, valuable customers who only recently slipped at the top of the list.
- Private: nothing is uploaded. Close the page and the data is gone. Only your settings and “contacted” ticks are remembered on this device, not customer details.
